This Privacy Policy explains how Medrek Group ("Medrek Group," "we," "us," or "our") collects, uses, and protects information when you visit www.medrekgroup.com, complete an intake or contact form, call or text us, or otherwise use our services.
1. Who we are (controller)
Medrek Group is the organization responsible for personal information described in this policy. Medrek Group is an independent multilingual intake and administrative-support company. We help injured individuals — especially Ethiopian, Eritrean, and other immigrant communities — organize facts and documents and understand common administrative next steps after an accident. If you affirmatively request legal assistance, Medrek Group may show you disclosed independent participating law firms from which you may choose. A law firm—not Medrek Group—decides whether to offer legal advice or representation.
Medrek Group is not a law firm, healthcare provider, insurance company, or emergency service. We do not provide legal or medical advice, determine whether you have a legal claim, estimate claim value, interpret insurance coverage, recommend medical treatment, or refer consumers to healthcare providers. Submitting a form or speaking with us does not create an attorney-client or doctor-patient relationship.

2. Information we collect
Depending on how you interact with us, we may collect:
- Identity & contact details — name, phone number, email address, preferred language, and state or region.
- Intake details — what happened (for example car, truck, rideshare, pedestrian, bicycle, slip-and-fall, or workplace injury), when and where it occurred, injury information, insurance details, police-report information, and other facts you choose to share for administrative intake support.
- Documents you provide — uploads or files you send (for example photos, police reports, insurance cards, or medical paperwork) for organization and, only if you authorize a named-firm transfer, inclusion in an intake packet.
- Attorney-choice & transfer authorizations — whether you request to see participating law firms, which firm you select, and the text and timestamp of any named-firm transfer authorization.
- Communications — call notes, emails, intake-assistant messages, SMS/text message content, and (when applicable) call recordings and transcriptions related to your inquiry.
- SMS / text messaging data — mobile number, opt-in and opt-out status, consent records, timestamps, and delivery metadata needed to operate our messaging program.
- Partner / professional inquiries — information submitted by law firms, interpreters, or community organizations interested in working with Medrek Group. Medrek Group does not recruit or refer medical providers.
- Technical & usage data — IP address, browser and device type, pages visited, and similar analytics data when you use our website (including analytics cookies if you grant consent).
3. How we use information
We use personal information to:
- Provide free multilingual Medrek Group intake and follow up about your inquiry (typically within one business day)
- Help you organize intake facts and documents and explain common insurance-claim and administrative next steps
- If you affirmatively request attorney assistance, show disclosed independent participating law firms and record your firm choice and named-firm transfer authorization
- Send an intake packet to a specific law firm only after you authorize that named transfer (Step E); Medrek Group does not send packets without that authorization
- Send service-related SMS, calls, or emails when you have opted in or otherwise requested contact
- Record and transcribe calls when notice is given and consent is obtained, for intake documentation, quality, and compliance
- Operate our staff intake desk / CRM, train our team, and improve service quality
- Secure, maintain, and improve our website and services
- Comply with law and enforce our terms
Participating law firms may pay Medrek Group fixed fees for documented multilingual intake and administrative services. Fees are not based on whether you retain a firm, the amount recovered, or the legal fees earned. You do not pay Medrek Group for the intake or attorney-choice service. Participation does not guarantee that a firm will accept your matter or achieve any result.
4. SMS / text messaging
If you provide a mobile number and opt in (for example by checking the consent box on our intake or contact forms), Medrek Group may send you SMS/text messages about your inquiry — such as follow-ups from an intake specialist, status updates, appointment reminders, and related service communications. Message frequency varies. Message and data rates may apply.
Reply STOP to opt out at any time. Reply HELP for help, or contact us at Admin@medrekgroup.com or (202) 684-3139. Consent to receive texts is not a condition of receiving free Medrek Group intake or other Medrek Group support.
SMS opt-in or phone numbers for the purpose of SMS are not being shared with any third party and affiliate company for marketing purposes.
No mobile information will be shared with third parties or affiliates for marketing or promotional purposes. All other categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties.
We may share phone numbers and message content only with our communications providers (for example RingCentral) solely to deliver SMS and related telephony, under confidentiality obligations, and not for those providers' own marketing.
5. How we share information
We do not sell your personal information. We treat intake information as confidential within Medrek Group. SMS opt-in or phone numbers for the purpose of SMS are not being shared with any third party and affiliate company for marketing purposes. Outside the SMS rules above, we may share information with:
- Named law firm you authorize — only after you request attorney assistance, choose a disclosed participating firm, and separately authorize transfer of your intake summary and selected documents to that firm. The firm is independent from Medrek Group.
- Service providers / processors — vendors that host our systems, store files, send email, provide telephony/SMS, run automation workflows, or (with cookie consent) analytics — only as needed to operate Medrek Group and under appropriate safeguards.
- Legal / safety — when required by law, legal process, or to protect rights, safety, or security.
Any general statements about sharing with partners or vendors do not apply to text messaging originator opt-in data and consent, which are not shared with third parties for marketing or promotional purposes.
6. Overseas access
Authorized Medrek Group personnel outside the U.S. may access intake systems to provide multilingual administrative support. Specific countries of processing will be confirmed with counsel and updated here when finalized. Overseas access is limited to authorized personnel under Medrek Group direction and confidentiality obligations.
7. Call recording and transcription
Calls with Medrek Group may be recorded and transcribed for intake documentation, quality, and compliance purposes. Where required, we provide notice and obtain consent before recording. You may decline recording; declining may limit how we document the conversation, but you may still receive Medrek Group intake support.
8. Sensitive intake information
Accident, injury, insurance, and related details can be sensitive. We collect them only to provide intake support and, with your separate named-firm authorization, to prepare a packet for the firm you chose. Medrek Group is not a covered healthcare provider under HIPAA; if you share medical information with us, we handle it carefully as confidential business information related to your inquiry, but that does not create a doctor-patient relationship or a HIPAA-covered treatment relationship with Medrek Group.
9. Retention
We retain personal information by category as reasonably needed, including:
- Intake and contact records — while your inquiry is active and for a reasonable period afterward for follow-up, quality, and dispute resolution
- Consent, opt-out, attorney-request, and named-firm transfer authorization records — as needed to demonstrate compliance and honor your choices
- Call recordings/transcripts — for documentation, quality, and compliance, then deleted or archived per internal retention schedules
- SMS suppression lists — as needed to honor opt-out requests
- Security and audit logs — for security, fraud prevention, and legal obligations
10. Security
We use administrative, technical, and organizational measures designed to protect personal information (including access controls for our staff intake systems). No method of transmission or storage is completely secure.
11. Breach response
If we become aware of a security incident affecting personal information, we will investigate, take appropriate remedial steps, and provide notices required by applicable law.
12. Cookies and analytics
We use essential cookies for site functionality (for example language preference). With your consent via our cookie banner, we may also use analytics tools to understand how the public site is used. You can decline non-essential cookies; essential cookies may still be required for the site to work.
13. Children
Our services are directed to adults seeking intake support. We do not knowingly collect personal information online from children under 13. If you believe a child provided information to us, contact Admin@medrekgroup.com and we will take appropriate steps.
14. Your choices and state privacy rights
- SMS: reply STOP to cancel; reply HELP for help
- Cookies: use the cookie banner where available
- Attorney / transfer choices: requesting an attorney introduction and authorizing a named-firm transfer are optional and separate from completing Medrek Group intake
- Access / correction / deletion requests: email Admin@medrekgroup.com. Depending on your state of residence, you may have additional rights to know, delete, correct, or opt out of certain processing. We will respond as required by applicable law. Medrek Group does not sell personal information.
